Today there are cloud services: mail is stored in Gmail, files in Dropbox, notes in Apple Notes, and so on. But even with cloud services there\u2019s no doing without backup. Instead of corrupted drives, they present other surprises: for example, they might <a href=\"https:\/\/www.theverge.com\/2018\/5\/24\/17389230\/stumbleupon-shut-down-internet-discovery\" target=\"_blank\" rel=\"nofollow noopener\">shutter<\/a>, <a href=\"https:\/\/www.forbes.com\/sites\/tonifitzgerald\/2024\/08\/14\/rising-streaming-subscription-prices-how-high-is-too-high-for-netflix-disney-and-more\/\" target=\"_blank\" rel=\"nofollow noopener\">hike subscription prices<\/a>, <a href=\"https:\/\/www.bleepingcomputer.com\/news\/security\/hosting-firm-says-it-lost-all-customer-data-after-ransomware-attack\/\" target=\"_blank\" rel=\"nofollow noopener\">lose your data<\/a>, or <a href=\"https:\/\/eu.usatoday.com\/story\/tech\/news\/2023\/08\/10\/zoom-ai-terms-of-service-backlash-experts-weigh-in\/70570221007\/\" target=\"_blank\" rel=\"nofollow noopener\">use it to train AI<\/a>. And if your internet ever goes down, online-only data is useless.<\/p>\n<p>So as not to be caught off guard by sudden unavailability or policy changes, always back up your data on your own computer and <a href=\"https:\/\/www.kaspersky.co.za\/premium?icid=en-za_bb2022-kdplacehd_acq_ona_smm__onl_b2c_kdaily_lnk_sm-team___kprem___\" target=\"_blank\" rel=\"noopener\">protect it against ransomware<\/a>. And backups need to be both readable and usable without proprietary software. They should be able to either be exported to common standard formats (PDF, HTML), or migrated to a \u201cbackup\u201d app that works offline and without a subscription.<\/p>\n<p>There is no universal recipe here: each online service has its own procedure. Today we look at backing up data in <a href=\"https:\/\/notion.so\" target=\"_blank\" rel=\"nofollow noopener\">Notion<\/a> \u2014 a knowledge base and note-taking app.<\/p>\n<h2>Backup<\/h2>\n<p>Notion lets you export data in one of three formats: PDF, HTML or Markdown+CSV. You can export a single note, a group of notes, or even an entire database. But only business and enterprise subscribers can do a full export to PDF format.<\/p>\n<p>For most apps, we recommend exporting to HTML format, as it\u2019s free, saves all types of data, and can be viewed in any browser with no special software required.<\/p>\n<p>You can do the exporting on a desktop computer or mobile device. For small amounts of data, a ZIP-archive download is immediate; for large amounts, you receive a download link by email\u00a0\u2014 which arrives with some delay.<\/p>\n<p>To export several notes or a subpage, press the advanced menu icon (\u2022\u2022\u2022), select <em>Export<\/em>, specify HTML as the export format, and include subpages and all types of content (<em>Everything<\/em>).<\/p>\n<div id=\"attachment_52081\" style=\"width: 1567px\" class=\"wp-caption aligncenter\"><a href=\"https:\/\/media.kasperskydaily.com\/wp-content\/uploads\/sites\/103\/2024\/09\/03170332\/notion-backup-and-migration-guide-01.jpg\"><img loading=\"lazy\" decoding=\"async\" aria-describedby=\"caption-attachment-52081\" class=\"size-full wp-image-52081\" src=\"https:\/\/media.kasperskydaily.com\/wp-content\/uploads\/sites\/103\/2024\/09\/03170332\/notion-backup-and-migration-guide-01.jpg\" alt=\"How to export all data from Notion\" width=\"1557\" height=\"1089\"><\/a><p id=\"caption-attachment-52081\" class=\"wp-caption-text\">How to export all data from Notion<\/p><\/div>\n<p>An entire workspace can be exported from the desktop app or web interface. Go to the settings, and under <em>Workspace \u2192 Settings<\/em>, click <em>Export all workspace content<\/em>. In addition to the above settings, be sure to enable <em>Create folder for subpages<\/em>.<\/p>\n<p>Only workspace administrators have this export option. For teamspaces, the export won\u2019t include other users\u2019 personal (hidden) pages created within the teamspace.<\/p>\n<div id=\"attachment_52080\" style=\"width: 1826px\" class=\"wp-caption aligncenter\"><a href=\"https:\/\/media.kasperskydaily.com\/wp-content\/uploads\/sites\/103\/2024\/09\/03170414\/notion-backup-and-migration-guide-02.jpg\"><img loading=\"lazy\" decoding=\"async\" aria-describedby=\"caption-attachment-52080\" class=\"size-full wp-image-52080\" src=\"https:\/\/media.kasperskydaily.com\/wp-content\/uploads\/sites\/103\/2024\/09\/03170414\/notion-backup-and-migration-guide-02.jpg\" alt=\"Exporting a workspace from Notion\" width=\"1816\" height=\"1080\"><\/a><p id=\"caption-attachment-52080\" class=\"wp-caption-text\">Exporting a workspace from Notion<\/p><\/div>\n<p>Having unzipped the archive on your computer to a separate folder, you can open the <em>index.html<\/em> file in it with any browser and freely navigate through your notes.<\/p>\n<h2>Export to Obsidian or AFFiNE<\/h2>\n<p>To not only view saved notes but also be able to edit them without Notion, you have to migrate your data to another, similar app that works offline or on a server under your control. The list of possible alternatives to Notion warrants a long read all of its own, so here we\u2019ll limit ourselves to just two apps that Notion users often <a href=\"https:\/\/www.reddit.com\/r\/Notion\/comments\/1f2223n\/about_notion_blocking_in_russia\/\" target=\"_blank\" rel=\"nofollow noopener\">recommend<\/a> as a substitute.<\/p>\n<p><a href=\"https:\/\/obsidian.md\" target=\"_blank\" rel=\"nofollow noopener\">Obsidian<\/a> is an app for structured data storage that can work entirely offline, free of charge. There\u2019s a paid service \u2014 Obsidian Sync \u2014 for synchronizing multiple devices, but users manage without it by placing the storage (vault) in an iCloud folder, or by using <a href=\"https:\/\/obsidian.md\/plugins?search=sync\" target=\"_blank\" rel=\"nofollow noopener\">third-party plugins<\/a> for synchronization with <a href=\"https:\/\/github.com\/alex-donnan\/SyncFTP\" target=\"_blank\" rel=\"nofollow noopener\">SFTP<\/a>, <a href=\"https:\/\/github.com\/remotely-save\/remotely-save\" target=\"_blank\" rel=\"nofollow noopener\">Amazon S3, Dropbox<\/a> or other services.<\/p>\n<p>To migrate data from Notion to Obsidian:<\/p>\n<ul>\n<li>Perform a full export of the Notion workspace as per the above instructions.<\/li>\n<li>Install Obsidian and the <a href=\"https:\/\/help.obsidian.md\/Plugins\/Importer\" target=\"_blank\" rel=\"noopener nofollow\">official import plugin<\/a>.<\/li>\n<li>Create a vault in Obsidian for the migrated data.<\/li>\n<li>Activate the installed plugin under <em>Settings \u2192 Community plugins<\/em> in Obsidian.<\/li>\n<li>Start the import via the button on the vertical command bar on the left.<\/li>\n<li>Select Notion (.zip) as the import file format, and in the dialog, specify the ZIP file downloaded during export.<\/li>\n<li>Enable <em>Save parent pages in subfolders<\/em>.<\/li>\n<li>Press <em>Import<\/em>.<\/li>\n<li>Wait for the import to finish.<\/li>\n<\/ul>\n<p>For very large databases, you may encounter problems with importing embedded ZIP files, in which case see the <a href=\"https:\/\/help.obsidian.md\/import\/notion\" target=\"_blank\" rel=\"nofollow noopener\">help page on the Obsidian website<\/a>.<\/p>\n<div id=\"attachment_52078\" style=\"width: 2104px\" class=\"wp-caption aligncenter\"><a href=\"https:\/\/media.kasperskydaily.com\/wp-content\/uploads\/sites\/103\/2024\/09\/03170503\/notion-backup-and-migration-guide-03.jpg\"><img loading=\"lazy\" decoding=\"async\" aria-describedby=\"caption-attachment-52078\" class=\"size-full wp-image-52078\" src=\"https:\/\/media.kasperskydaily.com\/wp-content\/uploads\/sites\/103\/2024\/09\/03170503\/notion-backup-and-migration-guide-03.jpg\" alt=\"Data migration from Notion to Obsidian\" width=\"2094\" height=\"1646\"><\/a><p id=\"caption-attachment-52078\" class=\"wp-caption-text\">Data migration from Notion to Obsidian<\/p><\/div>\n<p><a href=\"https:\/\/affine.pro\/\" target=\"_blank\" rel=\"nofollow noopener\">AFFiNE<\/a> is an open-source app offering a workspace with fully merged docs, whiteboards and databases, replacing, <a href=\"https:\/\/github.com\/Toeverything\/AFFiNE\" target=\"_blank\" rel=\"nofollow noopener\">the developers say<\/a>, both Notion and Miro. The business model is based on paid plans and AI assistants, but the app can work offline and even function as a <a href=\"https:\/\/docs.affine.pro\/docs\/self-host-affine\" target=\"_blank\" rel=\"noopener nofollow\">standalone server<\/a> wholly on your own infrastructure.<\/p>\n<p>Content export from Notion is built right into the AFFiNE desktop app, so the procedure is quite straightforward:<\/p>\n<ul>\n<li>Perform a full export from Notion.<\/li>\n<li>Unzip the file to a separate folder on your computer.<\/li>\n<li>Install AFFiNE and create a workspace.<\/li>\n<li>Run the import by going to <em>All pages \u2192 New Page \u2192 More options \u2192 Import page<\/em>.<\/li>\n<li>Choose import from markdown files, and select the <em>html<\/em> file from the unpacked folder.<\/li>\n<\/ul>\n<p>Visit the AFFiNE website for a <a href=\"https:\/\/affine.pro\/blog\/import-your-data-from-notion-into-affine\" target=\"_blank\" rel=\"noopener nofollow\">video guide<\/a> to importing from Notion.<\/p>\n<p>And remember to protect local backups of your important data against stealers and ransomware with the help of <a
